The Transcript/Graduation Analyst coordinates the evaluation of all academic records for admission to the College and eligibility for graduation of students.

Specific Duties and Responsibilities

Specific Duties and Responsibilities
  1. Coordinates the evaluation of all academic transcripts as part of admissions process in a timely manner.
  2. Coordinates the review of degree plan requirements for graduates.
  3. Explains policies, procedures and disputes to faculty, staff and students.
  4. Oversees staff processing and posting of degrees from South Texas College.
  5. Studies course prerequisites, degree equivalents, accreditation of schools and computes grade point average to establish student’s qualifications for admission, transfer or graduation.
  6. Compares transcripts of courses with school entrance or degree requirements and prepares evaluation form listing course of graduation.
  7. Verifies data by running Web Focus reports.
  8. Assists with the annual graduation commencement ceremony(ies).
  9. Provides recommendations to the Director of Student Records and Registrar for system and program improvement within the department.
  10. Responsible for writing procedures for transcript evaluations and degree audits.
  11. Coordinates activities pertaining to department with the Director of Student Records and Registrar.
  12. Assists with the implementation and reviewing of Electronic Data Inter-exchange (EDI) transcripts.
  13. Assists Coordinator of Records with daily operation and coordination of staff.
  14. Monitors and processes course substitutions via workflow.
  15. Certifies and awards students who have met requirements with certificate, associate, bachelor, and marketable skills degrees.
  16. Handles issues related to enrollment, registration or special requests.
  17. Indirectly supervises assigned personnel, as needed.
  18. Serves as Campus Security Authority.
  19. Performs other duties as assigned.

Required Education and Experience
  1. Bachelor’s Degree required.
  2. At least one (1) year of experience in a related work environment required.
  3. Experience in an institution of higher education, preferred.
Required Knowledge, Skills and Abilities
  1. Excellent oral, written, and interpersonal communication skills.
  2. Strong computer skills with knowledge of Microsoft Office including, but not limited to, Word, Excel, PowerPoint, and Outlook, the Windows environment, and internet research skills.
  3. Demonstrated knowledge of transcript evaluations and processes.
  4. Demonstrated knowledge of accreditation regulations.
  5. Demonstrated knowledge of procedures, rules and regulations of agencies and/or entities.
  6. Maintains familiarity with the College’s programs, policies, procedures and academic standards.
  7. Ability to prioritize, organize, and complete multiple tasks with attention to detail, within stated deadlines.
  8. Ability to work independently as well as a team player within department and with others.
  9. Ability to adapt to constant change and periods of fast-paced, high-intensity work situations.
  10. Ability to work evenings and/or weekends as needed; willing to travel throughout the college district using own means of reliable transportation.
  11. Demonstrated ability to interact effectively with a diverse, multi-cultural student population.
  12. Demonstrated commitment to achieving the vision and mission of South Texas College.
  13. Ability to read, analyze, and interpret transcripts, technical procedures, or governmental regulations.
  14. Ability to write reports, business correspondence, and procedure manuals.
  15. Ability to effectively present information and respond to questions from groups of faculty, managers, students, staff and the general public.
  16. Ability to define problems, collect data, establish facts, and draw valid conclusions.
  17. Ability to interpret an extensive variety of technical data and/or instructions.

  1. All applicants are subject to a national criminal background check under South Texas College policy.

  3. Must have a valid Texas driver’s license and proof of liability insurance.
Physical Requirements
  1. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
  2. Bending the body downward and forward by bending leg and spine.
  3. Perceiving attributes of objects, such as size, shape, temperature or texture by touching with skin, particularly that of fingertips.
  4. Picking, pinching, typing, or otherwise working, primarily with fingers rather than with the whole hand as in handling.
  5. Applying pressure to an object with the fingers and palm.
  6. Perceiving the nature of sounds at normal speaking levels with or without correction.
  7. Ability to receive detailed information through oral communication, and to make the discrimination in sound.
  8. Raising objects from a lower to a higher position or moving objects horizontally from position-to-position. Occurs to a considerable degree and requires substantial use of upper extremities and back muscles.
  9. Ability to make rational decisions through sound logic and deductive processes.
  10. Expressing or exchanging ideas by means of the spoken word including the ability to convey detailed or important spoken instructions to other workers accurately and concisely.
  11. Standing particularly for sustained periods of time.
  12. Bending body downward and forward by bending spine at the waist. Occurs to a considerable degree and requires full motion of the lower extremities and back muscles.
  13. Close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and/or extensive reading.
  14. Mobility to accomplish tasks, particularly for long distances or moving from one work site to another.
